Managing Project Requests

Managing all requests sent to you can be hectic. Dealing with different tools, inboxes, and chat apps can cause more frustration than they are supposed to help. Eliminate the hassle of managing your requests by streamlining the process through your CoSchedule calendar. Below you will learn how to:

Create Marketing Request Form

To create a marketing request form using Google Form, we will first need to make a new Google Sheets document so the form can populate the requests in each row. For starters, you can create a form with four columns: Title, Description, Schedule, and Status. If you don't want your team to have control over the publish status, leave that column off. You can always add more columns once you start creating a form.


Once the Google Sheet is created, you will need to connect the Google Sheet to a Google Form. To create a Google Form, go to your Google Drive. When finished connect your form to the existing or spreadsheet. Note: You can create the Google Sheet after creating your Google Form.

Connect Zapier

When your Google Form is created, connect CoSchedule to the Google Form using Zapier. There is a Zap template to help you save time. When you finish connecting the Google Form to Zapier, begin to connect the form's fields to CoSchedule's Project in Zapier. Below, are the settings we use.

  • Title: projectname
  • Description: description


To add more labels to project requests, choose a project type or color label.


Lastly, choose an Owner, Status, and whether or not you want the request to go to the Workboard. Choosing an owner for all requests will give the owner a notification in the dashboard any time a new request is created. Also, if you don't want any request to be on the calendar, you can send it directly to the workboard to work on later.


When finished, you'll click Continue and finalize your Zap. A test will be sent to your calendar to make sure everything is connected correctly. If you didn't choose a scheduled date, it will be added to the date you created the test or it will be added to the Workboard.

Manage Requests on the Calendar

Once you have connected the calendar to your Google Form, begin to have all requests go through the form. This will make sure you and your team are able to keep track of all requests that are sent to your team.

When we receive requests to our calendar, we have them labeled as a yellow color label called "Marketing Requests" and they are sent to our workboard.


If you use color labels to label your request projects, you can create a saved view to help filter all of your marketing requests on your calendar and workboard.


Marketing requests will start to stack up. Begin to schedule requests or add tasks to each project to make sure you and your team are staying consistent.


Share The Progress of Requests With Your Team

The benefit of using a saved view to manage your requests will also help your outside team to see when their requests are scheduled. To share your marketing request view, click share calendar and select your marketing request view.

When your team receives the shared calendar URL, they will a dynamic, easy-to-read calendar with all of their requests and the progress of the request.
